Covenant Living of Bixby is seeking a Full-Time Concierge responsible for the daily office duties and customer service for our residents, staff, and visitors. The position has a variety of other duties including answering phones, scheduling maintenance & transportation, creating flyers & business forms in a manner that promotes Covenant Living in a positive, professional way.

In this role, the Receptionist will:

  • Answer all telephone calls as quickly as possible in a polite, personal, and friendly manner. Transfers calls appropriately.
  • Monitor emergency system, directs staff to emergent situations, assist with monthly fire drills, call emergency personnel as appropriate, completes resident checks as appropriate to specific desk
  • Greet all visitors and see that they are directed to the appropriate department or individual who can assist them, ensuring that Assisted Living Care Givers/visitors/contractors sign in and wear appropriate badges according to policy and procedure.
  • Ensure that Concierge/reception desk area are kept clean and organized after each shift.
  • Schedule transportation for doctor appointments, Maintain calendar schedules, create flyers & weekly Highlights. Coordinate and communicate the transportation to Nursing Department weekly. Notify Transportation Driver as necessary to coordinate transportation/Activity trips.
  • Assist residents in signing up for programs and activities and assist Business Office with Resident statements and monthly rent process.
  • Is knowledgeable about all office equipment and monitors equipment, reports supply need and issues to HR/Business Office Manager.
  • Receive packages and assiste UPS, FedX with individual Resident deliveries when necessary & inform residents/staff of packages to pick up.
  • Manage maintenance requests through Worxhub, input requests into system, and communicates to appropriate staff urgent or emergent situations.
  • Complete Ancillary charge sheets and collect forms weekly from dining areas in accordance to procedure.
  • Support other departments with clerical needs as assigned by the HR/Business Office Manager.
  • Support team members with shift coverage and or updates when necessary for Weekend Per-diem staff.
  • Balance cash receipts for employee & guest meal tickets and maintain daily deposits during the rent check collections and hand off to the HR/Business Office Manager to process and review all outstanding payments by the 20th of the month.

The ideal candidate will have:

  • High school education or equivalent.
  • One year of clerical experience, Assisted & Residential knowledge is helpful.
  • Highly organized, detail oriented, good customer service and communication skills both verbal and written in English.
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality when circulating general information.
  • Knowledge of computers, and other programs including Microsoft Office Suite.
  • Interest in and desire to work with older adults.

Compensation Pay Range: $12.83 - $15.40 per hour

Reasonable Pay Estimate: A reasonable estimate of the pay range for this position is $12.83 - $15.40 per hour. There are numerous factors taken into consideration in determining the actual offered rate of pay, including but not limited to: job-related qualifications, experience, skills, education, geographic location, and consideration of internal and external equity.
